Now then, transparency.
One of the contestants (out of a dozen or so who had contacted me I think I only merged over 3 after I checked their stories out to see how true/believable it could be for something to have messed up on our end) had sent me a PM explaining how they missed the submission due to something happening on their end with Polycount not being able to send the post through. They said they had the work done well within the time frame of the competition so I checked that out. Sure enough the work was already and done they had just waited for us to set up the submission thread. I can see how submitting might have been a pain: Small window to do so, constant thread updates with heavy information (pics = memory = slower refresh on the database).
I decided the best way for me to get them in that thread was to 'Move' their single post from their thread over to the competitions submit thread. Because they had their content ready to go so soon, when I merged it over their post went on top of the Submit threads original post (the one I had written with all the submit guidelines, tech specs, etc). Further proving to me that they were in fact ready to submit early like they had claimed and that perhaps it truly was something on our servers side from stopping them. At this point I had committed to merging them in and wasn't worried so much about the reasons why. Gut feeling said it was the right thing to do.
But that post was now above mine and I had to fix it. I edited the newly appointed 'OP', copied the entire post contents to my clipboard, and hit 'Delete, Permanently'. At this point my plan was to remove that thread, have my original post go back to being 'OP' status and Copy > Paste the copied content back in to this artists thread.
Only now it was taking a while for the thread to delete. 'Oh that's weird, I wonder if they had a lot of pi- OH FUCK. OH FUCK OH FUCK OH FUCK OH FUCK. *deleted*'
I go back to Contests & Challenges and sure enough it was gone. Quickly to Google I look for solutions for bringing back perm. deleted threads within vBulletin and came up short. With my foot in my mouth and my tail between my legs I remade the submit thread, posted that I'm a tool (read: I am) and asked you guys to spread the word.
Now, I'm doing my best to ensure that only those who posted in the thread originally make it in but for now this is the best I can do.
To have this contest go so well just to have me bugger it up with a single button click is embarrassing. I'd like apologize to everyone who entered on time and in the original thread and hope you'll resubmit your entry and enjoy contests from us again in the future.
Lesson's I've learned for this contest & future Polycount Contests:
-Regardless of reasons, stick to the deadline 100%
-Open the submit thread at least 24 hours prior to the deadline.
-The schedule will run off of PST, not EST.
-Never, ever, hit that fucking Perm. Delete button again. Always Soft Delete.
Wish I could have seen the future, I wouldn't have taken a break and stopped working after the deadline was met so I could meet this deadline instead. Ive already moved on to trying to fill out a character for DomWar V in a week
hey...we are to give our vote only to one entry, this is how current voting system works? In this case it's quite possible that majority will vote for same fighter, and the rest of the votes would be split amongst 3-4 fighters, leaving everyone else far behind with one vote or no votes at all.
Is it possible to change the voting system so we could pick 2 or 3 fighters? (do it in separate threads, dunno) I think it would give more precise and fair results.
Is there anyway to link each vote to the specific WIP page/submission thread post, or even create a new post at the beginning of each submission thread containing a compiled list of WIP threads. It might make it easier to see each entry as it can be a pain to scan through three pages of massive images.

I was kind of expecting that every voter was going to pick their personal top 8, but it might be difficult to set that system up...
I think if everyone was able to vote on their top 3, that would be great though.
