Could you be more specific on what your problem is exactly?
The process for retopoing a mesh in ZBrush is:
Load a ZSphere
Go to "rigging" in the tool menu
Click "bind mesh" and select the model that you want to retopo
Go to topology and select "Edit Tolopogy"
If you're worried about the position of the ZSphere (which is unlikely to make a difference) you can append your ZTool the the sphere first and then rig them together.
I think the biggest problem is that, yea the model's pivot is on the ball so when i rotate it the model seems to move around with the ball as its pivot.
I moved the ball to the model and apparently it works but sometimes has some zooming issues, however another problem has occurred which is this is that projection doesn't seem to pick up the details as much as i would like. (It might be the quick topology that I've done however kinda doubt it).

also is there any way to save a model which is still in the middle of being retopologised, or do i need to do it in one go?
also is this the most efficient way to retopologis the model? I keep asking myself that question.

You can save a semi retopoed object just like anything else. Save it as a ZTool and then go back to "edit topology" when you reload it. There used to be a bug where if you reloaded a half finished topology, all of your vertices would be hidden. I think it's fixed, but if not it's just a simple matter of unhiding them as you would any ZBrush geometry.
my best guess would be that your retopo is inverted, go into displayproperties and turn off the double sided mode, if it is, the projection won't find the surface... sucky bug, never found a way around it, but at least it doesn't explode your model like it did with 3.1
I once read about z brush that it makes more sense to import a sphere from max and use that as Z spheres have some tpye of an issue saposeidly, I don't remember what it is though.
make adaptive skin, append your old model, and with your retopo selected, and your old mesh visible, hit project all,
if you are doing all of this, and it still doesn't work, then your computer hates you,

Nice, I did what Rwolf said and it now seems to work fine, however since I have sub-tools in my original file, would it be wise to retopologize the model and then import a lower subdivision like the model in the top row center into the original tool? or should i just import the sub-tools into a new tool... and do i make any sense ? > <?Ps thanks for all the reply's and help you guys rock

From there you'll be able to draw out your wires.

Well you can save your retop wip, just remember to load the original mesh and set it to it when you need to continue on.
Most efficient? The resolution seems to be enough. Although managing line flow is something you need to learn with more experience.
